Equipment Hire 

Terms & Conditions


1. Booking & Payment
1.1 A non-refundable Booking Fee of 30% is required to secure all hire items.
1.2 The remaining balance is due 30 days before the event date.
1.3 Payment terms may vary for large or bespoke bookings.
2. Security / Damage Deposit
2.1 A refundable damage deposit is required, set case-by-case depending on equipment, duration
and risk level.
2.2 Deductions may be made for damage, missing items, excessive dirt or improper use.
3. Cancellations & Refunds (Stricter Policy)
3.1 The 30% booking fee is non-refundable.
3.2 Cancel 60–50 days prior: 70% of total hire cost payable.
3.3 Cancel within 45 days: 50% of total hire cost payable.
3.4 Postponements are treated as cancellations unless a new date is agreed.
4. Client Responsibilities
4.1 Clients must ensure level, safe ground and suitable access for setup.
4.2 Weather-related damage due to poor site conditions is the client’s responsibility.
4.3 Flooring is required for long hire periods to protect equipment.
5. Delivery, Setup & Collection
5.1 Client must ensure clear vehicle access and site readiness.
5.2 Extra fees may apply if setup is delayed due to client issues.
6. Use of Equipment
6.1 Equipment must be used safely and as intended.
6.2 Smoking, naked flames and unauthorised electrical items are not permitted inside structures.

6.3 All Equipment must have a current pat test certificate.
7. Liability & Insurance
7.1 We are not liable for misuse, guest behaviour or weather conditions.
7.2 Client is responsible for all loss or damage during hire period.
8. Force Majeure
We are not liable for cancellations caused by events beyond our control.
9. Photography & Marketing
We may use event photos for marketing unless you opt out.
10. Agreement
By booking, you agree to these Terms & Conditions.

 

1. Booking & Payment
1.1 Booking Fee

A non-refundable booking Fee of 30% is required to secure all hire items, equipment and staffing.
The booking is not confirmed until the deposit has been received.

1.2 Balance Payment

The remaining balance is payable no later than 30 days before the event date, unless otherwise agreed contractually.

1.3 Custom Agreements

For large events, multi-day bookings or bespoke setups, payment terms may be adjusted at our discretion.

2. Security / Damage Deposit
2.1 Case-by-Case Deposit

A refundable damage deposit will be required for all hires.
The amount will be confirmed at the time of booking and is based on:

  • The equipment hired
  • Duration of hire
  • Site conditions
  • Event risk level
  • Replacement cost

2.2 Inspection & Deductions

Items will be inspected once installed and signed for. On collection/dismantling.
deductions may be made for:

  • Damage
  • Excessive dirt or staining
  • Missing parts
  • Misuse

weather-related damage caused by improper site preparation or neglect

Any remaining balance will be returned within 7–10 working days.

3. Cancellations & Refunds

Your cancellation policy is Option B (Stricter):

3.1 Client Cancellation

30% booking fee is non-refundable under all circumstances.

If cancelled 60–50 days before the hire date: 70% of total hire cost is payable.

If cancelled within 45 days of the hire date: 50% of total hire cost is payable.

3.2 Case-by-Case Exceptions

We may offer alternative arrangements or partial refunds in exceptional circumstances, at our discretion.

3.3 Event Postponements

Postponements are treated as cancellations unless an alternative date is mutually agreed and available.

4. Client Responsibilities
4.1 Site Suitability

The client is responsible for ensuring:

safe, level and accessible ground

sufficient space for tents/yurts and equipment

clear access for our vehicle(s)

that the site is free of hazards (buried cables, pipes, uneven ground, etc.)

4.2 Weather Conditions

While our structures and equipment are designed for outdoor use:

We reserve the right to refuse installation if conditions are unsafe (e.g., high winds, flooding, unstable ground).

Damage caused by extreme weather is the client’s responsibility unless caused by our negligence.

4.3 Flooring Requirement (Long-Term Hire)

For multi-day or long-term hire periods, flooring is required to protect the equipment and maintain safety.
This may be:

wooden flooring

matting

protective underlay

platform installation (for long-term festival setups)

If the client declines flooring, we may refuse the booking or require a higher damage deposit.

5. Delivery, Setup & Collection
5.1 Access Requirements

Clients must ensure:

clear access for our vehicle (height restrictions, narrow lanes, soft ground etc. must be disclosed)

the site is ready for immediate setup

electricity/power access is available if required

5.2 Setup Times

Setup and pack-down times will be confirmed in advance.
Failure to provide access at agreed times may incur additional charges.

5.3 Waiting Charges

If we are unable to set up due to access, ground issues or delays outside our control, we reserve the right to apply waiting-time fees or rescheduling costs.

6. Use of Equipment
6.1 Proper Use

All equipment must be used:

responsibly

as intended

with adequate supervision for children/guests

without alteration, moving or unauthorised adjustments

6.2 Prohibited Use

The following are not permitted inside tents/yurts unless previously agreed:

smoking

naked flames

generators

cooking equipment

unauthorised heaters

6.3 Third-Party Equipment

If the client brings additional equipment (heaters, electrics, décor etc.), they accept all associated risks.

7. Liability & Insurance
7.1 Our Liability

We hold public liability insurance; however, we are not responsible for:

loss, damage or injury caused by misuse

items left unattended at the event

adverse weather conditions outside our control

the actions of guests or third-party suppliers

7.2 Client Liability

The client is responsible for all loss or damage to equipment during the hire period, excluding reasonable wear and tear.

8. Force Majeure

We are not liable for delays or cancellations arising from events beyond our control, including:

severe weather

natural disasters

road closures

strikes

accidents

government restrictions

In such cases, deposits remain non-refundable.

9. Photography & Marketing (Optional)

With your consent, we may take photos of setups for marketing purposes.
Clients may opt out at any time.

10. Agreement

By booking our services, you acknowledge that you have read, understood and agree to these Terms & Conditions.
